Case Study 001: Creating Calendars in MyUA to Schedule Rooms



Applicability
All students, faculty and staff. Any user can create additional calendars in MyUA: for a resource or any other reason; that are public or private; that can be shared. There is no cost for the MyUA calendar.

Summary
The UAF Psychology Department has seven rooms used by graduate students to conduct clinical counseling sessions. The department wanted a tool to schedule the rooms privately in a calendar that the students could access. The students subscribed to calendars in the MyUA portal that the department Program Coordinator created and configured so they would be confidential. 

Background
The UAF Psychology Department graduate students conduct counseling sessions as part of their training. The sessions take place in seven department meeting rooms. The department wished to replace their paper calendaring system for the rooms with an electronic one.

Functional Requirements
1. Create calendars for meeting rooms; share them with selected users only; make the calendars confidential.
2. Accomplish #1 with an end user interface
3. Expend no funds.

Alternative
The department evaluated MeetingMaker which did not meet their requirements because resource accounts have to be created in an administrative interface; there would be a fee to create new accounts for students. 

MyUA Calendar Meets Requirements
• Calendar Creation - The Program Coordinator used the ‘Create New Calendar’ function to create a calendar for each room.
• Make Calendars Private – The Coordinator used the ‘Permission’ tool to make the calendar available for subscription only to the selected students. 
• Calendar Sharing - The students used the ‘Subscribe’ tool to subscribe to the calendars.
• Calendar Sets - For convenience, all the calendars can be seen in a combined view by using the Calendar Set’function to create a ‘New Set’.
